Cancellation & Refund Policy

We understand that travel plans can change. This policy explains how cancellations, amendments and refunds work for The Great Out Tours experiences.
Different terms may apply to bespoke holidays or bookings involving third-party suppliers. Any specific terms applying to your booking will be communicated before payment.
1. Standard The Great Out Tours Experiences
This section applies to The Great Out Tours-operated experiences including Private Lessons, Kids Lessons, Family Packages, Explorer Tours and other standard day experiences unless different terms are stated at booking.
Cancellation by the Guest
If you cancel:
More than 14 days before your experience:
100% refund of amounts paid directly for the The Great Out Tours-operated experience, less any non-refundable third-party costs already incurred on your behalf.
7–14 days before your experience:
50% refund of the The Great Out Tours-operated experience price, less any non-refundable third-party costs.
Less than 7 days before your experience:
No refund.
Where possible, we will always try to help move your booking to another available date before applying cancellation charges.
2. Signature Days, Ultimate Powder Tours & Concierge Experiences
Premium experiences often involve advance arrangements such as:
Equipment hire
Lift passes
Transport
Photography
Food
Reservations
Other suppliers
Any third-party costs that The Great Out Tours has already paid or committed to on your behalf may be non-refundable regardless of when you cancel.
The refundable portion of your The Great Out Tours service will otherwise follow the cancellation terms communicated at booking.
3. Complete Holiday Planning
Complete Holiday Planning is a bespoke service and may involve substantial work before your arrival.
Planning & Concierge Fees
Once The Great Out Tours has begun researching, designing or coordinating your itinerary, planning and concierge fees may become partially or fully non-refundable.
Your specific payment and cancellation schedule will be provided before you confirm your trip.
Third-Party Bookings
Accommodation, transport, equipment rental, activities, lift passes, restaurants and other services may have their own cancellation policies.
Where The Great Out Tours arranges or coordinates these services, refunds will be subject to the individual supplier's terms.
The Great Out Tours cannot guarantee a refund from a third-party supplier where that supplier's cancellation policy does not provide one.
4. Changes to Your Booking
If you need to change:
Your date
Resort
Group size
Experience
Equipment
Accommodation
Transport
Other arrangements
Please contact us as soon as possible.
We will make reasonable efforts to accommodate changes, but they are subject to availability and may result in additional costs.
5. Weather & Snow Conditions
Skiing and snowboarding are outdoor activities and conditions can change quickly.
Normal winter weather, snowfall, limited visibility, changing snow quality or a lack of fresh powder do not automatically entitle guests to a refund.
Where appropriate, we may modify the resort, terrain, meeting location, start time or itinerary to provide the best and safest experience possible.
6. Powder Conditions
Fresh powder cannot be guaranteed.
Our Ultimate Powder Tour and other powder-focused experiences are designed to give you the best opportunity to find good snow based on the conditions available.
If fresh powder is unavailable, the experience will normally continue with an itinerary designed around the best skiing or snowboarding available that day.
A lack of fresh powder alone is not grounds for a refund.
7. Resort or Lift Closures
If some lifts or terrain are closed but the experience can reasonably continue, the booking will normally proceed with an adapted itinerary.
If a resort is unable to operate and we can reasonably relocate your experience to another suitable location, we may offer that alternative.
If The Great Out Tours determines that the booked experience cannot safely or reasonably be provided, we will discuss the available options with you, which may include rescheduling, credit or a refund of the affected The Great Out Tours-operated service.
Third-party costs remain subject to the relevant supplier's policies.
8. Cancellation by The Great Out Tours
Safety comes first.
The Great Out Tours may cancel, modify or stop an experience if we believe conditions present an unreasonable safety risk, including severe weather, unsafe terrain, resort closures or other circumstances outside our reasonable control.
Where The Great Out Tours cancels an experience before it begins and cannot provide a reasonable alternative, we will offer an appropriate reschedule, credit or refund for the affected The Great Out Tours-operated service.
9. Illness or Injury
If you or a member of your group becomes ill or injured and cannot participate, please contact us as soon as possible.
Our normal cancellation terms will apply unless otherwise agreed.
We strongly recommend comprehensive travel insurance covering winter sports, illness, injury, cancellation and interruption.
10. Late Arrival & No-Shows
Your experience begins at the agreed time.
If you arrive late, we will make reasonable efforts to provide the remaining portion of your experience, but the finish time may remain unchanged.
No refunds are provided for missed time caused by guest lateness.
Failure to attend without notifying The Great Out Tours will be treated as a no-show and no refund will normally be provided.
11. Travel Disruption
The Great Out Tours cannot guarantee refunds where a guest is unable to attend because of circumstances outside The Great Out Tours's control, including:
Flight cancellation or delay
Train disruption
Road closures
Lost luggage
Personal travel delays
Illness
Visa or entry issues
This is another reason we strongly recommend comprehensive travel insurance.
12. How Refunds Are Issued
Approved refunds will normally be returned to the original payment method.
Processing times may vary depending on the payment provider and financial institution.
Any unavoidable payment processing, currency conversion or third-party charges may be excluded where legally permitted.
13. Travel Insurance
All guests are strongly encouraged to purchase comprehensive travel insurance before travelling.
Your policy should be appropriate for the activities you intend to participate in and ideally include:
Skiing and snowboarding
Winter sports
Medical treatment
Emergency evacuation
Trip cancellation
Trip interruption
Lost or damaged equipment
Travel delays
