The Great Out Tours Terms & Conditions

These Terms & Conditions apply to experiences and services provided by The Great Out Tours, trading as The Great Out Tours (“The Great Out Tours”, “we”, “us” or “our”).
By making a booking with The Great Out Tours, you confirm that you have read, understood and agreed to these Terms & Conditions on behalf of yourself and, where applicable, the other participants included within your booking.
1. Our Services
The Great Out Tours provides mountain and travel-related services that may include:
Private ski instruction
Private snowboard instruction
Children's lessons
Family experiences
Resort tours and guiding
Powder-focused experiences
Concierge experiences
Equipment arrangements
Lift pass arrangements
Transport coordination
Photography and video
Itinerary planning
Complete Holiday Planning
Other bespoke travel and mountain experiences
Exactly what is included in your booking will be stated in your booking confirmation.
Anything not specifically stated as included should not be assumed to form part of the booking.
2. Making a Booking
Submitting an enquiry or booking form does not automatically create a confirmed booking.
Your booking is confirmed once The Great Out Tours has accepted your request, provided confirmation and any required payment or deposit has been received.
Availability may change until the booking is confirmed.
You are responsible for checking that the information within your confirmation is correct and notifying us promptly of any errors.
3. Prices
Prices are displayed in Japanese Yen (¥) unless otherwise stated.
Prices may vary depending on:
Group size
Experience
Duration
Resort
Travel distance
Equipment requirements
Third-party supplier costs
Bespoke requests
For customised experiences and Complete Holiday Planning, The Great Out Tours will provide a personalised quotation.
4. Payments
Payment requirements will be communicated before your booking is confirmed.
Certain experiences may require full payment in advance.
Complete Holiday Planning and larger bespoke bookings may use deposits or staged payments.
Failure to make payment by the specified deadline may result in cancellation of your booking.
5. Guest Responsibilities
Guests are responsible for providing accurate information about:
Skiing or snowboarding experience
Ability level
Age
Equipment requirements
Relevant accessibility requirements
Other information reasonably required to safely plan the experience
Guests must follow reasonable instructions given by The Great Out Tours instructors, guides, resort staff and relevant authorities.
6. Skiing & Snowboarding Risks
Skiing, snowboarding and mountain activities involve inherent risks.
These may include, but are not limited to:
Falls
Collisions
Changing snow conditions
Ice
Trees
Rocks
Terrain features
Lift-related incidents
Other mountain users
Weather
Reduced visibility
Natural hazards
Participation is voluntary and guests are expected to ski or snowboard responsibly and within their abilities.
The Great Out Tours will take reasonable steps to manage foreseeable risks, but no mountain activity can be made entirely risk-free.
Nothing in these Terms excludes or limits liability where doing so would be unlawful.
7. Safety
Safety is our priority.
The Great Out Tours instructors and guides may:
Change the planned terrain
Alter the route
Change resorts
Delay or shorten an activity
Refuse access to certain terrain
Stop an experience
Where reasonably necessary for safety.
Guests must follow instructor and guide directions.
If a guest repeatedly ignores safety instructions or behaves in a way that places themselves or others at unreasonable risk, The Great Out Tours may end their participation.
8. Ability Levels
Guests must provide an honest assessment of their skiing or snowboarding experience when booking.
Our instructors and guides may adjust the planned itinerary if they determine that terrain or activities are unsuitable for a participant's current ability.
Access to advanced terrain, powder areas, tree skiing, freestyle features or other challenging terrain is always subject to ability, conditions and safety.
9. Children
Children participating in The Great Out Tours experiences must be booked by a parent or legal guardian or with their appropriate permission.
The person making the booking is responsible for providing accurate information about the child's age, experience and relevant requirements.
Lesson duration and terrain may be adjusted according to a child's confidence, ability, energy levels and safety.
Parents or guardians must be contactable during children's lessons unless otherwise agreed.
10. Helmets & Equipment
The Great Out Tours strongly recommends that all participants wear an appropriate ski or snowboard helmet.
Guests using rental equipment are responsible for treating it appropriately and complying with the rental provider's terms.
Loss or damage to rental equipment may result in additional charges imposed by the equipment provider.
11. Lift Passes
Unless specifically stated as included, guests are responsible for purchasing an appropriate lift pass.
Where The Great Out Tours arranges a lift pass on your behalf, the pass remains subject to the resort operator's terms and conditions.
The Great Out Tours is not responsible for changes to lift operations, queues or closures controlled by the resort.
12. Weather & Mountain Conditions
Mountain conditions are unpredictable.
Snowfall, temperature, wind, visibility and lift operations may change at short notice.
The Great Out Tours does not guarantee:
Fresh powder
Particular snow conditions
Access to specific runs
Opening of particular lifts
Access to particular resorts
Specific weather
We may adapt the itinerary according to the conditions available.
13. Powder & Off-Piste Terrain
Some experiences may involve ungroomed, tree, powder or permitted off-piste terrain.
Participation in such terrain depends on:
Guest ability
Snow conditions
Resort rules
Weather
Visibility
Safety considerations
The Great Out Tours standard experiences do not automatically include true backcountry or uncontrolled avalanche terrain.
Where specialist backcountry guiding is required, this must be specifically arranged with an appropriately qualified provider.
14. Freestyle & Terrain Parks
Participation in jumps, rails, boxes and other freestyle features carries additional risk.
Access to park features will depend on the participant's ability and the instructor's assessment of appropriate progression.
Guests should never attempt a feature solely because another participant has done so.
15. Transport
Transport is included only where specifically stated.
Travel times may vary because of:
Snow
Traffic
Road conditions
Weather
Accidents
Resort operations
Where circumstances outside The Great Out Tours' control cause delays, we will make reasonable efforts to adapt the experience.
All passengers must follow applicable seatbelt and vehicle safety requirements.
16. Third-Party Suppliers
The Great Out Tours may arrange, recommend or coordinate services provided by third parties, including:
Accommodation
Transport
Equipment rental
Ski resorts
Restaurants
Photographers
Activity operators
Other service providers
These suppliers may operate under their own terms, cancellation policies and liability arrangements.
Where a third party provides the service directly, that provider is responsible for delivering its service, subject to applicable law.
17. Complete Holiday Planning
Complete Holiday Planning is a bespoke service.
The exact scope of The Great Out Tours' responsibilities will be detailed within your quotation or booking confirmation.
Depending on the service selected, The Great Out Tours may provide recommendations, itinerary planning, booking assistance or coordination of third-party services.
Guests are responsible for checking:
Passport validity
Visa and immigration requirements
Entry requirements
Travel insurance
Health requirements
Flight information
Personal travel documentation
unless The Great Out Tours has expressly agreed otherwise in writing.
18. Changes to Itineraries
The Great Out Tours experiences are intentionally flexible.
We may alter an itinerary where reasonably necessary because of:
Weather
Snow conditions
Resort closures
Lift closures
Traffic
Safety
Supplier availability
Guest ability
Other circumstances outside our reasonable control
Where possible, we will aim to provide an alternative of comparable value or experience.
19. Photography & Video
Photography and video may be taken during selected The Great Out Tours experiences.
Where photography is included, we will make reasonable efforts to capture content but cannot guarantee a particular number, style or quality of images unless a specific photography service has been purchased.
We will seek appropriate permission before using identifiable guest images for promotional purposes.
20. Alcohol & Drugs
Guests must not participate in skiing, snowboarding or other mountain activities while impaired by alcohol, illegal drugs or any substance that makes participation unsafe.
The Great Out Tours may refuse or end participation where we reasonably believe a guest is impaired and presents a safety risk.
No refund will normally be provided in these circumstances.
21. Behaviour
We want every The Great Out Tours experience to be enjoyable and respectful.
We may refuse or end participation where a guest behaves in an abusive, threatening, discriminatory, dangerous or seriously disruptive manner toward instructors, guides, other guests, resort staff or members of the public.
22. Late Arrival
Guests should be ready at the agreed meeting point and time.
If you arrive late, your experience may still finish at the originally scheduled time.
We cannot guarantee extensions or refunds for time lost because of guest lateness.
23. Cancellations & Refunds
All bookings are subject to our separate Cancellation & Refund Policy.
For bookings involving third-party suppliers, additional supplier cancellation terms may apply.
24. Travel Insurance
We strongly recommend that every guest has comprehensive travel insurance appropriate for their trip.
Your insurance should cover the activities you plan to undertake, including skiing or snowboarding where relevant, as well as medical expenses, evacuation, cancellation and travel disruption.
Guests participating in more advanced activities should ensure their policy covers the specific terrain and activity involved.
25. Personal Belongings
Guests are responsible for their personal belongings.
The Great Out Tours is not responsible for lost, stolen or damaged personal property except where liability cannot lawfully be excluded.
26. Circumstances Outside Our Control
The Great Out Tours is not responsible for failure or delay caused by circumstances outside our reasonable control, subject to your rights under applicable law.
These circumstances may include severe weather, natural disasters, road closures, transport disruption, resort closures, government restrictions, industrial action or other exceptional events.
Where such circumstances affect your booking, we will make reasonable efforts to communicate with you and identify appropriate alternatives.
27. Liability
The Great Out Tours will provide its services with reasonable care and skill.
Nothing in these Terms & Conditions excludes or limits any liability that cannot legally be excluded or limited, including applicable rights available to consumers.
To the extent permitted by law, The Great Out Tours is not responsible for losses that are not reasonably foreseeable or that arise from circumstances outside our reasonable control.
28. Complaints
If something isn't right during your experience, please tell us as soon as possible.
Giving us the opportunity to address an issue while you're with us will often allow us to resolve it quickly.

29. Privacy
Personal information is handled in accordance with our Privacy Policy.
30. Governing Law
These Terms & Conditions are governed by the laws of [APPLICABLE JURISDICTION – TO BE CONFIRMED], subject to any mandatory consumer rights that apply to you.
Any disputes will be handled in accordance with the applicable law and jurisdiction.
31. Changes to These Terms
